Your payments stay with your place: if you can’t make a date, or we can’t run one, your place moves to the next available session. This policy explains how that works, when refunds are available and what to do if paying the balance becomes difficult.
1. Booking, deposit and balance
Your place is booked when you pay a deposit of 50% of the fee. The balance is due 4 weeks before the training starts. We’ll send a reminder [2 weeks] before it’s due.
This policy applies to everyone who books, whether you pay yourself or your employer or another organisation pays for you. Where an organisation pays, we’ll deal with the person who booked and the delegate together on any transfer or refund.
Certificates. You receive a CPD certificate showing your CPD hours if you attend in a professional capacity, whoever pays, or if your employer pays for your place. If you book and pay for yourself for personal use, you receive a certificate of participation.
Group bookings. An organisation can book up to two employees onto a public training session. For three or more employees from the same organisation, we provide in-house training instead. Use the online form in section 6 to ask for a quote.
2. Moving your place to another date
If you can’t make your booked date, tell us at least 7 days before the training starts and we’ll move your deposit, and anything else you’ve paid, to the next available session. You can move your place once, free of charge. After that, your payment stays credited to you until you attend, however far away the new date is.
If you cancel or ask to move less than 7 days before the training starts, or you’ve already moved your place once, you may lose your deposit. Anything you’ve paid on top of the deposit will be refunded. If something unexpected stops you attending, contact us as soon as you can and we’ll talk it through.
3. If we can’t run your date
If we cancel the training (for example, because the trainer is ill), we’ll tell you as soon as possible. You can choose a full refund of everything you’ve paid, or move your place to another date.
If fewer than 4 people have booked 15 days before the start date, we’ll postpone the session. Your place and your payments move automatically to the next available date, and we’ll email you the new date. You don’t need to do anything.
If the new date doesn’t work for you, or it’s more than 6 months after your original date, you can ask for a full refund instead. Reply to our email within 14 days, or ask at any time before the new date.
Either way, we aren’t responsible for travel, accommodation or other costs you’ve arranged around the original date, so please wait for our confirmation email 15 days before the start before booking anything non-refundable.
4. If the training no longer feels right for you
Circumstances change. If you’ve paid and now feel the training won’t benefit you, you can apply for a refund using our Refund Consideration Form [link].
Waldo reviews every application personally and will reply within 10 working days. In most cases we can offer a refund. The form asks a few questions about your decision. Your answers help us understand how people decide about training like this and how we can improve it.
5. If paying the balance becomes difficult
If you’ve paid your deposit but can’t pay the balance in one go, contact us before the balance is due. We’ll agree a payment arrangement that suits you, and your place stays held while you keep to it.
Every payment arrangement:
- is interest-free, with no fees or charges;
- is split into no more than 3 instalments; and
- is finished within 4 months of the date we agree it.
If the arrangement means you’ll finish paying after your booked date, we may move you to a later session so the training and the payments line up. We’ll agree that with you first. If you miss an instalment, we’ll get in touch to talk it through before anything changes.
6. Your legal right to cancel, and how to contact us
If you book as an individual (not on behalf of a business), the law gives you 14 days from the day you book to cancel for any reason and get a full refund. If your training starts within those 14 days and you asked us to begin, we may deduct a fair amount for any part of the training you’ve already received. To cancel, email us or use the cancellation form we send with your booking confirmation.
Nothing in this policy affects your legal rights.
